Employee groups

Employee groups let you sort employees into departments or teams. They make it faster to pick employees in reports and tables. You can also give a group permissions and set rules that apply to everyone in it.

How to create a group

  1. Go to Personal → Employees → Employees groups.

  2. Click to add a new group. A window titled Employees group: Add opens.

  3. Fill in the fields described below and click Save.

Fields

  • Name (required)
The name of the group. Use the translation button next to the field to enter the name in other languages. Employees then see the group name in their own language.

  • Members
Choose the employees who belong to the group. You can also add a whole other group here, and all its members then belong to this group too. A group cannot be a member of itself, not even through another group.

  • Employees whose direct subordinates are automatically added to the group
Choose a manager. Their direct subordinates are added to the group automatically.

  • Employees all of whose subordinates are automatically added to the group
Choose a manager. All of their subordinates are added to the group, including the subordinates’ own subordinates.

  • When a manager’s subordinates change, the members added this way update automatically. Inactive employees are never added automatically.

  • Members can see each other’s vacation schedules
When ticked, group members can see each other’s vacations in the absences calendar.

  • Members can see each other’s upcoming scheduled working times on the dashboard
When ticked, group members can see each other’s upcoming scheduled working times on their dashboard.

  • How many employees from this group must always be at work
If you enter a number, Wemply checks every new vacation. On each day of the vacation, at least that many people from the group must still be at work. You can also read this explanation by clicking the question mark next to the field.
If too few people would be left at work, the employee sees this message:
“Vacation cannot be taken, because at least [number] people from group [group name] must be at work at the same time.”
In that case, choose different dates or agree the vacation with colleagues. This check is skipped for vacation types where the rule has been turned off in their settings. If the field is empty, no check is made.

  • External code: shown only if external codes for employee groups are turned on in your settings. It is used to link the group to another system.

The vacation and scheduled working time options are shown only if your company uses those features.

Adding an employee to a group from their profile

You can also add an employee to groups from the employee’s own profile, in the Groups field. This works when adding a new employee too.

If you no longer need a group, you can set it as inactive.
