Configuring Minimum Workload

This guide explains how to properly configure minimum workload and how to display this data in the work schedule so that standard hours, additional hours, overtime, and undertime related to minimum workload can be viewed while creating and reviewing schedules.

To enable minimum workload configuration, you first need to activate the module on the following page: Settings → Modules

After activating the module, it becomes possible to assign a minimum workload in the employment contract.

However, this alone is not enough, because minimum workload information must also be displayed in schedules. For this purpose, data types must be configured.

You need to create the following 4 data types:

  • Overtime Hours

  • Undertime Hours

  • Additional Hours

  • Minimum Workload Standard Hours

Configuring Overtime and Undertime Hours

Configuring overtime and undertime hours is the simplest step because you only need to specify the corresponding type. All other configurable fields can be left empty.

Configuring Additional Hours

Configuring additional hours is also simple, but there is no separate type available for them. Instead, select the type: “Hours Between Minimum and Maximum Workload”

All other fields can also be left empty.

Configuring the “Minimum Workload Standard Hours” Data Type

Apply the following settings:

  • Type: Working Hours

  • Contract Types: Employment Contract

  • Added Data Types: Undertime Hours

  • Subtracted Data Types: Additional Hours, Overtime Hours

After completing all the previous steps, the following data should appear in the data type table. At this point, all required data types will be available for display in the statistical columns of work schedule types.

Next, go to the work schedule type table:

Accounting → Work Schedule → Work Schedule Types

There, you need to modify the visible columns of the work schedule type.

You can learn how to do this in the related guide. You need to drag the following data types from the red column to the green column:

  • Undertime Hours

  • Additional Hours

  • Minimum Workload Standard Hours

  • Overtime Hours

You may notice that the table already contains “Overtime Hours,” but the existing column displays both undertime hours (with a minus sign) and overtime hours together, calculated only based on maximum workload. This is not correct for employees working with minimum workload settings.

In our case, it is important that “Undertime Hours” and “Overtime Hours” are displayed separately, because overtime is calculated uniformly for everyone based on maximum workload, while undertime depends on the specific employee and whether they have a minimum workload assigned.

The data types we created should be placed at the very bottom.

Initially, these columns will be empty, but as soon as you add at least one workday for an employee, all the necessary information will immediately appear.
