Configuration and Calculation of Extended Annual Leave for Employees with Partial Work Ability

According to Estonian leave regulations, employees with partial work ability are entitled to an additional seven days of annual leave. In Wemply, you can easily assign a partial work ability period to the relevant employees and automatically calculate the extended annual leave entitlement.

Using the Decreased work capacity module, you can define employees with partial work ability for specific periods. By specifying the validity period in the table, you do not need to manually track when the employee should no longer receive additional leave days related to reduced work ability.

Note: When using this module, you do not need to manually adjust the employee’s annual leave entitlement in the leave balance table.


Setup

First, you must activate the Decreased work capacity module. Module configuration rights are available to all administrators within their domains. If the module is not activated, the corresponding leave-type setting will still be available, but employees cannot be assigned to the module.

Configure → Settings → Features → Decreased work capacity → Save



Next, you need to decide whether the additional leave entitlement related to reduced work ability should be included in the same leave type as the regular annual leave or managed as a separate leave type that is only available and visible to employees listed in the Decreased work capacity table.

1. Extended leave included in the annual leave type

If there is no need to separately track which leave type the employee used, simply enable the option:

"Extend the balance by 7 days if unable to work"

in the annual leave type settings.

2. Extended annual leave as a separate leave type

If separate tracking is required, create a new leave type with settings almost identical to the annual leave type. The only difference is that the default number of vacation days should be 0.


Usage

Once the required setup has been completed (the module is activated and the leave type is configured), simply add the employee to the Decreased work capacity module table.

During the specified period, the employee will accrue an additional 7 days of annual leave per year on top of their regular annual leave entitlement.

  • Start date is mandatory and is used as the starting point for leave balance calculations.

  • End date is optional.

If needed, you can use Custom Fields to add additional information, such as a File field for storing documents related to the employee’s partial work ability status.

HR → Additional Employee information → Decreased work capacity
